Instructions to Authors
STEP I: PREPARE YOUR MANUSCRIPT AND FILES In the Manuscript Central Author Center, “File Upload Center”, you will upload all files associated with your manuscript submission to create a folder of original files for production and a folder of files for reviewers to see. Those files may include the following:
1. Text of your article should be prepared using the Author’s Template in Word (Windows only). The file can then be saved as a .doc or .rtf. Any of these file types will be converted to .pdf format.
2. Any figures, saved in .jpg, .tif or .eps format. High resolution files (300 dpi or greater) are required and each figure should be saved separately.
3. Any tables should be inserted into the text document. STEP II: LOG IN TO MANUSCRIPT CENTRAL. If you are uncertain as to whether you have an account or if you have forgotten your User ID or Password, click CHECK EXISTING ACCOUNT and provide the necessary data; the system will send you an email with your account information. If you do not have an account, click CREATE AN ACCOUNT, follow the instructions, and then log in. If you have difficulties of any kind with your account, do not create another account! Please contact Support by clicking the Get Help Now button in the upper right corner of your screen STEP III: ENTER MANUSCRIPT DATA.
III-1. Enter information as the screens prompt you.
Your entries will appear on the subsequent screens. Proofread each step as you proceed. If there are errors you can return to earlier pages to correct them by clicking the "Previous" button.
On screen 2 enter an institution only once. You will have an opportunity to affiliate multiple authors with an institution on screen 3.
III-2. Enter your manuscript title and abstract.
Even though the title and abstract are included in the text of the manuscript, you must enter them on screens 4 and 5 because the Editorial Office uses these fields in a searchable database to expedite the review process.
It is important to understand that Greek letters and special characters such as mathematical symbols, as well as formatting codes such as italics, bold, and superscripts can only be shown on the Web if they are represented by HTML codes. Therefore you must use the provided Character Palette to insert special characters and formatting into your title and abstract.
Click the Character Palette link to see the available special characters. Click on the desired character or formatting code; it will appear in the small text box. Using your browser edit function cut and paste the code into your text. Make sure you paste all the elements of the code. If you have copied and pasted your title or abstract from your manuscript text into the Manuscript Central fields, be sure to replace the original special character(s) with codes from the Character Palette. Note that formatting codes must be inserted in pairs; be sure to insert both the beginning and the ending codes. STEP IV: UPLOAD MANUSCRIPT FILES. To upload files:
Click on the "Browse" button and locate the document you want to upload. · Select the document's designation from the pull-down menu. The designation choices may vary from journal to journal, but will always include “Main Document” (your manuscript text). · You will also be asked whether each document you upload should be considered for review, and the default is set to "Yes." Please be advised that, if you select "No," the editorial staff will still be able to view that document and make it available to an editor or reviewer if necessary. There are two types of documents that will be saved with your submission:
1. Files for Review These will be the files viewable to the editor and reviewers of your manuscript. The system will automatically convert your text documents (anything in .doc format or .rtf) into Portable Document Format (.pdf) and make that newly converted document accessible for review, leaving the originally uploaded document under the second column, "Files for Production." PDF files are readable with Adobe Acrobat Reader, available for downloadwww.adobe.com/products/acrobat/readstep.html or from the main login screen of Manuscript Central. The system will also convert any .jpg, .tif and .eps image files into a smaller .jpg image and leave the original under "Files for Production." The smaller version of your image will include in the filename "_sm.jpg." The system will save under "Files for Review" any documents which are uploaded in formats that cannot be converted.
Please Note - If you choose to upload files such as Excel spreadsheets, LaTex, QuickTime movies, PowerPoint presentations, or other files Manuscript Central will not convert these to PDF format. The journal staff, editors, and/or reviewers will only be able to view these unconverted files if they have the appropriate software on their computers. Please contact the journal for more information.
2. Files for Production These are all your originally uploaded files. Not shown will be those files you designated for review that cannot be converted by the system.
Editing Uploaded Files:
Once you have uploaded your files you may make changes to them.
Order: Please be sure to keep your main manuscript as number 1 in the list. Simply click on the pull-down menu in the “order” column and select the appropriate number. For example, if you want a file that is fourth in the list to appear second then change the 4 to a 2. Category: To change the category of a file click on the small down arrow next to the category name and select a different category from the list. Change Description: To change the description of a file click on the “i” button and type a new description into the field. Delete: To delete a file you have uploaded click the “x” button. If you are deleting a file that was converted into PDF format be sure to delete both the original and the file for review. Some guidelines for all users:
When uploading figures, please make sure they are readable. Many figures contain miniscule characters such as numbers on a chart or graph. If these characters are not easily readable, they will most likely be illegible in the .pdf created by the system. Certain image formats such as .jpg do not have high resolutions, so you may elect to save your figures and insert them as .tif instead.
Please use simple filenames when saving all your documents and avoid special characters such as [brackets], (parentheses), punctuation marks (?, !), and symbols such as @, #, &, $, and %. Avoid spaces in your filenames: instead of "Figure 1 Author.tif," save your file as "Figure1.tif." Guidelines for Macintosh users:
In addition to using simple, short filenames when saving your documents, you must type the extension at the end of the file name you choose. The file extensions are as follows: .doc - Microsoft Word documents.
.rtf - Rich Text Format
.jpg - Joint Photographic Group format (known on an Apple as
JPEG)
.gif - Graphic Interchange Format
.tif - Tagged Image File format (known on an Apple as TIFF). Please
do NOT include the second "F" in your extension.
.ppt - PowerPoint presentation
.xls - Microsoft Excel spreadsheet
.pdf - Portable Document Format
.eps - Encapsulated PostScript
.mov (or .qt) - QuickTime movie
In order to view manuscripts for review, you must install Adobe Acrobat Reader, which you can download from www.adobe.com/products/acrobat/readstep.html or the link at the bottom of this page. There are several Macintosh computer formats to choose from. If you are not sure which one to use, you may want to ask your system administrator before downloading. After downloading and installing the program, users of both Netscape and Internet Explorer will have to configure their browsers to use Acrobat to read PDF documents. STEP V: PROOFREAD UPLOADED MANUSCRIPT It is critical that you carefully proofread your manuscript. Look carefully at all special characters, mathematical symbols, Greek letters, equations, and tables. Check your images; all uploads and links should display.
If you find errors, go to your original document on your computer and make necessary changes. Then return to the File Upload Center, click on the Uploaded File ID, and re-upload the manuscript, again proofreading it carefully. STEP VI: SUBMIT MANUSCRIPT You may leave your manuscript in the File manager and return later to edit it. But please understand that until you SUBMIT the manuscript, it will not be sent to the Editorial Administrative Office and will not enter the review process.
