Manuscript Preparation Guideline
Introduction

Important notice. Effective 1 January 2004, manuscripts and supporting illustrations and tables are to be submitted electronically (see Submission of Electronic Files below).

Manuscripts in English, treating systematics and natural history, both broadly defined, of Coleoptera are considered for publication as regular papers or as "Scientific Notes." Manuscripts for these are peer-reviewed. Book reviews and other contributions also are published as space is available. Final order of items for publication, in the order received rather than in order of date of acceptance, is the responsibility of the Managing Editor. The corresponding author must submit an "Agreement to Pay Page Charges" form, with original signature, after acceptance of manuscripts and a "Page Charge/Reprint Request" form when galley proofs are returned. Both of these forms go to the Managing Editor.

Prospective authors of manuscripts should read the following information closely and review previous published examples prior to formatting papers for submission. Feel free to contact the Managing Editor with any questions (ccarlt@lsu.edu).

General Policies. The following policies are in place for manuscripts submitted for publication in the Coleopterists Bulletin (Revised 22 December 2003; Federal EIN 23-7319132).

  1. Coleopterists Society members who have institutional or grant support are expected to pay page $32.00(U.S.)/ page charges.

  2. Coleopterists Society members in good standing who are unable to pay page charges (or only able to make partial payment) may ask for a waiver when submitting manuscripts up to 4 pages/year/author. The author(s) should state the reason(s) for requesting the waiver. There may be times when the Society cannot allow complete waivers due to financial considerations. A limited number of page-charge exempt pages are available per issue so the wait for publication is longer for papers requesting a waiver. Author's corrections made on proofs and reprint costs are not included in the waiver.

  3. "Fast track" articles are paid at full ($80.00/page) page charges. These are published in the next issue following acceptance.

  4. Authors who are not members of the Coleopterists Society must pay a $25.00 (U.S.) nonmember surcharge in addition to the $32.00/page page charges. They are encouraged to join the Society ($30) instead.

  5. Authors submitting hard copies of manuscripts and/or illustrations after 1 June 2004 will be assessed a $25.00 (U.S.) handling fee (see submission guidelines) in addition to usual publication costs.

  6. Color illustrations are charged "at cost," based on what the printer charges the Society.

  7. Papers are accepted or rejected on the basis of their scientific merit without regard to author's financial support.

  8. Manuscripts that do not comply with these guidelines will be returned for revision before being sent to reviewers.

Steps and Usual Timelines in the Publication Process.

  • E-mail or letter of receipt after editor receives manuscript (one-two weeks).
       Note: Manuscripts are logged into the queue for publication at this point.

  • Distribution of new manuscript to Review Editor for review processing (one-two weeks). Regular articles are typically sent to two reviewers, scientific notes to one.

  • Return of reviewed manuscript to authors by Review Editor (two-four months after submission).

  • Decision regarding acceptance (two-three weeks after return of revised manuscript). Final decisions are made by the Managing Editor in consultation with the Review Editor in charge of the manuscript.

  • Receipt of galley proofs by authors (three-four months after acceptance).
       Note: Receipt of galleys does not necessarily mean that your article will appear in the next issue. The editor normally has a holdover stock of galleys from 20-30 manuscripts. However, corrected galleys should be returned to the editor as soon as possible to avoid potential delays in publication.

  • Total time from submission of manuscript to publication;
         Regular page-charged articles (12-15 months).
         Page-charge waived articles (18-24 months).
         Fully paid, "fast Track" articles (3-6 months).
         Scientific Notes and other short items (3-12 months).

Manuscript Submissions

Where to Submit. Beginning 1 January 2004 all articles are to be submitted electronically to the Managing Editor at ccarlt@lsu.edu. Do not submit directly to the Review Editors. Files must be small enough (under 2 megabytes) for transmission as e-mail attachments. Following revision of manuscript, send final version of text, graphics files, marked review copies and review forms directly to the Managing Editor, according to the instructions below.

Submission of Manuscripts as Electronic Files. Initial text submissions should be in MS Word or RTF format in 12 pt. Times New Roman font. If preparing manuscripts on a Macintosh or using another word processing platform, submit in RTF. Embed draft quality figures and tables into the text file at the end of the manuscript. If this results in a file that is too large for transmission, graphics files may be sent separately as JPEG or PDF files (but not to exceed 2 megs per transmission). Include the corresponding author's surname or a truncated version of it in the filename. Indicate in the text of the e-mail that this is a new submission.

Submission of the final version of a manuscript may be via e-mail attachment as outlined above only if no graphics files are included and the manuscript was recommended for publication with only minor revision. Otherwise, send text and graphics files on a CD to the Managing Editor by regular mail, accompanied by printouts of the final text and figures, and all review copies and forms. Zip disks are acceptable but they will not be returned.

Final versions of electronic graphic files must conform to the following guidelines, as set forth by our printer:

  1. Electronic figures must be formatted to the final size desired. Hard copy drafts must accompany the electronic versions.

  2. Format the file as EPS or TIFF for both Macintosh and PC platforms. Do not submit graphics files intended for publication in JPEG or GIF formats. The resolution is not acceptable for the printing process.

  3. Indicate the input resolution on images that have been scanned: 450 dpi for grayscale/color; 1200 dpi for line art.

  4. Use PC or Macintosh versions of Adobe Postscript fonts. Do not use Truetype fonts or system "bitmap" fonts. Include the font files on the disk with the figure.

  5. If you have compressed your files, indicate what compression format was used.

  6. Color figures must be in CMYK mode.

  7. In addition to the formats given above, the following Native Application File Formats are acceptable, but please indicate the file format used:
    • Adobe Photoshop (.psd)
    • Adobe Acrobat (.pdf) (use "press" setting under Job Option)
    • Corel Draw (.cdr)
    • Power point (.ppt)
    • Word (.doc)
    • Excel (.xls)
For additional information about formatting electronic files, contact the editor.

Submission of monographs. Manuscripts to be considered for the Coleopterists Society Monographs should be submitted to the Managing Editor by the annual 1 May deadline. Due to the larger size of monographs, either electronic or hardcopies may be submitted. General formatting guidelines are the same as regular articles in the Bulletin.


Formatting Guidelines

Manuscript Preparation. Format text as you wish it to appear in print using examples from recent issues as a guide. Manuscripts must be double-spaced (including footnotes, figure captions, references, synonymies, etc.), on standard 8.5 x 11" paper size with a one (1) inch margin all around.

Organize manuscripts for regular papers as follows: Title, Authors, Addresses, Abstract, Text, Acknowledgements, Literature Cited, Appendix, Figure Captions, Tables (each with an Arabic numeral and with heading provided) and embedded Figures (each numbered and identified). Number each page consecutively. Type footnotes at the bottom of the page to which they refer, separated from text by a line (the "insert footnote" feature in Word does this. Do not use proportional spacing or justified right margin. Leave two (2) spaces after periods and colons. Avoid hyphens or dashes at ends of lines. Do not divide a word at the end of a line. Do not begin a sentence with an abbreviation. Use italic font when appropriate instead of underlining. Numbers less than 10 should be written out. For descriptions, however, use Arabic numerals throughout including single digit ones. Measurements should be carried to same decimal, e.g., 6.0-6.4, not 6-6.4. Illustrations must all be referred to in the text, e.g., "tarsal claws (Fig. 1)" (preferred) or "tarsal claws as in figure 1."

Title Section. Include a brief descriptive title of the paper followed by the names of authors and their addresses and institutional affiliations (if any). Clearly note the corresponding author if different from lead author and which address corresponds to each author. Include e-mail address(es), if available, of author(s), or at least that of corresponding author.

Abstract. The abstract, required for all regular papers, should be a succinct condensation of the contents of the article. A second abstract may be written in another language using the English alphabet. Do not cite references in the abstract. Provide all new scientific names in the abstract. Provide the authority of all genus group and species group names in the abstract. Cite, in bold, all newly described taxa and nomenclatural changes in the abstract.

Scientific Names. The systematic position of taxa named in the title must be indicated (e.g., Coleoptera: Cleridae), except where only family group level taxa are treated, in which case only the order is required. The names of all genus group and species group taxa mentioned in the title and the abstract must be accompanied by the authority name, e.g., Curculio L., Curculio proboscideus (Fabricius). The first mention of the name of a plant or animal in the text itself must include the full scientific name, including the authority. Spell out the entire scientific name the first time it is mentioned in the text; thereafter abbreviate the genus name, except when it begins a sentence. Do not write the name of a species group taxon anywhere that is not preceded by the name of the genus or its initial.

Literature Citations. Cite references in text as follows: Spangler (1991) or (Spangler 1991) for one author, Wood and Bright (1987) or (Wood and Bright 1987) for two authors, Orbach et al. (1995) or (Orbach (et al. 1995) for three or more authors. Include all authors' names under Literature Cited. References "In press" should be cited only after they have been accepted for publication. End the citation under Literature Cited "(In press)." Notify the editor immediately of any change in status.

Names of persons who provide unpublished information should include initials in the text, e.g., F. G. Werner, pers. comm. (for information obtained orally) or F. G. Werner, in litt. (for personal communications obtained in writing).

List references alphabetically by author under Literature Cited. Do not list references under Literature Cited that are not cited in the text (or in tables). Do not italicize words in titles under Literature Cited that are not italicized in the original. Do not italicize journal names and book titles. Do not give issue numbers for volumes of periodicals having continuous pagination throughout the volume. Spell out the complete titles of periodicals.

Taxonomic Papers. Taxonomic papers must conform to requirements of the latest version of the International Code of Zoological Nomenclature. Type specimens must be designated and type depositories, preferably public institutions, must be clearly indicated for new species. Specimens not included in type series must be explicitly excluded. New taxa must be clearly differentiated from previously described taxa by means of keys and/or differential diagnoses.

Literature Cited. The citations below serve as examples:

    Spangler, P. J. 1991. Haliplidae (Adephaga) [pp. 311-312]. In: F. W. Stehr (editor), Immature insects, Volume 2. Kendall Hunt Publishing Co., Dubuque, Iowa. xvi + 975 pp. (Citation of a contribution to a book)
    Orbach, E. L., Bartolozi, and A. Sforzi. 1995. A new Afrotropical species of Rhinopteryx Lacordaire (Coleoptera: Brentidae). Coleopterists Bulletin 49(1):17-22. (Citation of an article in a periodical with three or more authors.)

Figure Captions. Figure captions should be typed on a separate page and submitted after Literature Cited (or after Appendix). These should be concise, precise guides to the interpretation of each figure. There is normally no need to list authorities for species names in captions. When formatting figure captions, use the following examples as guides, paying particular attention to punctuation and use of bold font.

    Figs. 1-10. Hinda modesta. 1) head, frontal view; 2) antenna; 3) labrum; 4) mandibles; 5) maxilla; 6) labium; 7) wing; 8) prosternal process; 9) metendosternite; 10) epipleuron.
    Figs. 11-14. Hinda spp. 11) H. buqueti; 12) H. decas; 13) H. designata, dorsal; 14) H. designata, ventral.

Illustrations. Format illustrations as you wish them to appear in print. Grouped illustrations should be mounted in the same proportions (length and width) as the printed part of the page. Allow enough space for the figure caption. Do not crowd line drawings on a plate or leave too much space. Figure numbers should be neat, uniform, and scaled to be 2/16 to 3/16" when printed. If two or more photographs are on a plate, they must be mounted with edges touching (trim off all white edges of photographs). For best results light and dark photographs should not be mixed on the same plate. Do not mix drawings and halftones on the same plate.

Use of Internet Websites. Cite internet websites in the text of articles, as follows, or as a standard literature citation (see previous example).

Authors may use websites to provide descriptive, illustrative and distributional information to supplement but not replace published information. Websites cited in manuscripts must be accessible to the Review Editor before they will be published. However, unpublished scientific names should not be posted on publicly accessed websites prior to publication. Contact the Managing Editor for additional information about the use of websites in conjunction with publications.

Scientific Notes. These are short contributions that should not exceed 2.5 typewritten pages, including illustrations (1 printed page). Organize Scientific Notes under Title, Text, followed by Literature Cited, and finally Author(s), and their Address(es). There are no Abstracts. Do not include a separate Acknowledgement section for Scientific Notes. Cite references for Scientific Notes in the same style used for Regular Articles.
