Information for Authors

Language Quality

Very poor language may be a reason for rejection. Referees are active scientists who perform their services on a volunteer basis. The quality of your written language is important to ensure that they understand your manuscript clearly and easily. If you are unsure that your language has the required high quality, it is advisable to have your manuscript reviewed by an individual with a good mastery of English (or French), such as a member of the language department of your institution. There are also private companies who can perform these editing services for a fee.

How to Submit your Manuscript

  • Initial Manuscript: The initial manuscript should be submitted electronically in PDF format (please ensure that the source document is preserved for the final submission). Alternatively, if electronic submission in PDF is not possible, then four paper copies must be submitted, printed on one side only. To facilitate the review process, we recommend the insertion of consecutive line numbers in the margins (continuous numbering from first to last page). Please use the Manuscript Submission Form  (pdf document).
  • Final Manuscript: Accepted formats for the final text are: MS Word, WordPerfect and LaTex; PDF is not acceptable for the final manuscript. The final manuscripts including figures and tables must be submitted on CD-ROM or as a ZIP file (IBM compatible) accompanied by a corresponding exact paper copy. All electronic media must be clearly labelled as to author, content and file format. If formats differ from the above, please contact the Technical Editor, Sheila Bourque, c/o Canadian Ice Service, 3rd Floor, Block E, 373 Sussex Drive, Ottawa ON Canada K1A 0H3, Tel.: (613) 996-5078, Fax: (613) 996-4218, e-mail: ao-technical-editor@cmos.ca.
  • Potential referees: Authors are required to recommend at least 4 potential referees who have not been involved in any way with the work described in the submission.
  • Page charges: Page charges are obligatory at CAD$ 115.00 per page. If an author is unable to meet these charges in full, a request for a reduction must be made at the same time as the manuscript is submitted. You will receive the pdf version of your article when it is printed, and will be given to opportunity to order reprints at cost).
  • Colour charges: There is no additional fee for the use of colour.(no more colour fees!!)
  • Additional charges: Excessive alterations made by the author at the proof stage are subject to a flat fee of $115.

  • Authorization to publish: It is essential to provide a properly signed Authorization to Publish (link to pdf form)

How to Prepare Your Manuscript

General format: All copy (including tables, references and figure captions) must be double-spaced, have wide margins, and all pages must be numbered sequentially. Headings and subheadings must be clearly designated.

Manuscript: title, name and affiliation of each author must appear on an unnumbered cover page, separate from the remainder of the manuscript. The corresponding author must provide institutional telephone and fax numbers and e-mail addresses with the manuscripts. A concise, relevant and substantial abstract is required which must appear on a separate page from the body of the manuscript. References should be omitted from the abstract. The body of the text will start on the third page. Text is to be 12-point.

Units: The International System (SI) of metric units is preferred. Units should be abbreviated only if accompanied by numerals, e. g. "10 m" but "several metres". Tables: Tables must appear on separate pages, complete with concise headings and an identifying number.

Citations: Literature citations should be indicated in the text by author and date. The list of references must be arranged alphabetically by author and chronologically for each author, if necessary.

Digital Object Identifiers: It is recommended to indicate the DOI of any reference at the end of the citation in the format: doi: 10.3137/…….

Footnotes: Footnotes to the text should be avoided.

Figures: Labelling must be a generous size so that characters are easy to read after reduction. All figures must be numbered sequentially. A list of figure captions must be submitted on a separate page.

Preparation of figures: It is important that authors submit high quality graphics, in electronic form. To ensure a high quality final product, the resolution, after sizing on the journal page, must be at least 600dpi (dots per inch) for line drawings (preferably 1200 dpi), although photographs may be at 300 dpi. The dimensions of the graphics should be the same as or slightly larger than the expected final size. An electronic file in one of the formats specified below is required for all figures and photographs. Figures not available electronically should be submitted as high quality hard copies that can be scanned electronically. Non-digital photographs (halftones) must be submitted as negatives.
File formats: EPS (encapsulated PostScript) (unencoded) or TIFF (tagged image file format) (uncompressed) are the required file formats. Note that JPEG (joint photographic experts group) or GIF (graphic interface file), which are good for viewing on the screen and computer printing, are not acceptable for offset printing. Grey tones must be saved as 8 bits grey scale (minimum).

Means of transmission: Image files meeting the above criteria are very large and cannot be accepted in e-mail messages; they must be submitted on CD-ROM or zip files. In zipping of files, no form of compression should be applied to the graphics. (To preserve quality when exchanging figures between co-authors, FTP (file transfer protocol) can be used; if e-mail is used, the parameters of the e-mail software must be set to ensure no loss of spatial resolution or colour depth.) FTP cannot be used for transmission to ATMOSPHERE-OCEAN.
